Enquiries land in Zoho CRM as enriched, deduplicated leads

Zoho CRM records leads and tasks well on its own, but it does not fill in company details or catch a repeat enquiry from the same business. The pipeline does both before a person opens the record.

What lands in Zoho CRM

Enquiry as a CRM lead

Each incoming enquiry becomes a lead or contact record instead of an email sitting in an inbox.

Official company name

Filled in from the Estonian business register the moment a registry code is found in the enquiry.

Registry code and VAT number

Attached to the record so the account is identified by more than a name and a phone number.

Region, founding date, management

The rest of the register lookup lands on the same record: region, founding date and management names.

Match by registry code, not phone

A repeat enquiry updates the existing record instead of creating a duplicate lead.

Follow-up task for a person

A task is created and assigned so a person makes the next contact, not a bot.

Where it gets awkward

Every system has edges. These are the ones that shape the build — better known before the pilot than during it.

No registry enrichment built in

Zoho CRM does not look up a company from a registry code on its own. The pipeline calls the business register and writes the fields onto the lead.

Phone search lags new records

In our own project the CRM's phone search lagged about 30 seconds behind newly created records, which produced duplicate leads. Matching on registry code instead avoided it.

Is a custom pipeline worth it here?

Worth building
  • Enquiries arrive from more than one channel and need one record per company.
  • You want company details filled in automatically instead of typed by hand.
  • Repeat enquiries from the same business need to be merged, not duplicated.
Native tools are enough
  • You keep a simple contact list with manual data entry and low volume.
  • Every enquiry is already a distinct, one-off contact with no repeat business.

The task behind this

Solution

Customer enquiries answered and logged around the clock

Website, email, Telegram and WhatsApp enquiries classified, answered from your material, logged to your CRM, with unsure cases handed to a person.

How the stream is built

Processed in the EU. The original files and extracted data stay in your own systems; a data-processing agreement is available on request — see security and data handling.

From audit to autopilot

Step 1

Audit

We map one document or enquiry stream end-to-end, count volumes and name the systems it touches. You get a written scope and a fixed pilot price.

Step 2

Pilot

One stream goes live on your real documents. Acceptance is measured, not felt: straight-through rate, minutes per document, exceptions.

About two weeks · fixed price
Step 3

Rollout

The remaining streams follow the proven pattern. Monthly report, support, and changes as your systems change.

Frequently asked questions

Does Zoho CRM already fill in company details from a registry?

No. Zoho CRM stores whatever you enter or import. In our own project we call the Estonian business register and write the official name, registry code, VAT number, region, founding date and management names onto the lead, in about 2.2 seconds.

Why match by registry code instead of phone number?

In our project the CRM's phone search lagged about 30 seconds behind newly created records. A quick repeat enquiry could arrive before the earlier one was searchable by phone, which produced duplicate leads. Matching on the registry code avoided that.

What happens to a repeat enquiry from a business we already have?

It updates the existing CRM record instead of creating a new one. The history stays on one lead rather than being split across duplicates.

Does the pipeline replace a salesperson's follow-up?

No. It creates the record and a follow-up task; a person still makes the call or sends the email. Its job is to get accurate data in front of them quickly.

Can this work with enquiries from more than one channel?

Yes. Whatever channel an enquiry arrives on, it is turned into a Zoho CRM lead with the same enrichment and matching applied before it reaches a person.
